JOB VACANCY INFO: SECRETARY/ADMINISTRATIVE ASSISTANT

We are looking for a responsible Secretary/Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Secretary/Administrative Assistant include providing support to our director, assist office manager in daily office needs and managing our foundation’s general administrative activities.

Responsibilities

Organize and schedule appointments
Plan unit meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly financial report
Assist in developing and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for public events
Liaise with executive and office manager to handle requests and queries from board members

Requirements
Max. age 30
Proven experience as a secretary or administrative assistant or office admin assistant
Knowledge of office management systems and procedures
Proficiency in word processing and spreadsheet application
Excellent time management skills and the ability to prioritize work
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Minimum D3; additional qualification as an Administrative assistant or Secretary will be a plus
